HubSpot integration: setup guide

The HubSpot integration links one Serpfull website to one HubSpot account. Serpfull adds a note to the matching HubSpot company when something important happens on the website (downtime, recovery, domain expiry, audit results, ranking changes, new reports), and a Serpfull card on company records shows the website’s rankings, uptime and SEO score.

Before you start

• A Serpfull account with at least one website, and the owner or admin role in your Serpfull organisation.
• A HubSpot account where you can install apps (a Super Admin, or a user with App Marketplace access).
• The website’s domain set as the Company domain name on a HubSpot company, or the option to let Serpfull create the company.

1. Install and connect

• In Serpfull, pick the website in the switcher, open Integrations → HubSpot and press Connect HubSpot. You can also start from the Serpfull listing in the HubSpot App Marketplace and press Install.
• Sign in to HubSpot if asked, choose the HubSpot account, review the permissions and press Connect app.
• You come back to Serpfull. If you started in HubSpot, sign in to Serpfull and pick the website to connect (this step expires after 15 minutes).
• The page shows Connected with the HubSpot account name and ID.

Permissions we ask for

• Read companies: find the company whose domain matches your website, and show the card on it.
• Write companies: add notes to that company and, only if you switch it on, create the company when none matches.
• Basic OAuth access: identify the HubSpot account you connected.

2. Choose what to sync

• Events: tick the events that should become notes. By default: site down, site back up, domain expiring, audit score dropped and report ready.
• Create the company if it’s missing: off by default. When on, Serpfull creates a company named after the website, using its domain.
• Match again: clears the remembered company, so the next event searches by domain again (useful after you merge or replace companies).
• Press Save. Use Send test note to post a test note on the matched company.

3. Use it

• Notes appear on the company’s timeline in HubSpot, usually within a minute of the event. The Recent activity table in Serpfull shows each note and whether it was sent.
• Open a company in HubSpot to see the Serpfull card: keywords tracked, average position and top keywords, uptime incidents and downtime over the last 30 days, and the average SEO score, with a link to the website in Serpfull.
• If HubSpot is busy or limits requests, Serpfull retries after 1 minute, 5 minutes, 30 minutes, 2 hours and 6 hours, then marks the note as failed.

Disconnect

In Serpfull, open Integrations → HubSpot for the website and press Disconnect. Serpfull revokes its access to your HubSpot account, deletes the stored tokens and cancels queued notes. Turning the HubSpot integration off for a website disconnects it too.

Uninstall from HubSpot

In HubSpot, go to Settings → Integrations → Connected apps, open Serpfull and choose Uninstall. Serpfull notices within about 10 minutes (or on its next request), marks every website connected to that HubSpot account as disconnected, deletes the stored tokens and lets your team know in the app.

What happens to your data

• Notes already added stay in HubSpot after you disconnect or uninstall; delete them in HubSpot if you don’t want them.
• Companies Serpfull created stay in HubSpot.
• Serpfull keeps only the HubSpot account ID and domain, the matched company ID, your sync settings and a 30-day log of sent notes. Tokens are encrypted at rest and deleted when you disconnect.
• Serpfull doesn’t read or store your contacts, deals or other HubSpot records.

Privacy

The card is loaded from Serpfull with a request signed by HubSpot; we check the signature and only show data for websites connected to that HubSpot account. See our privacy policy for how we handle data from connected apps.

From an assistant

The AI connector has hubspot_status, hubspot_connect_link, hubspot_update_settings, hubspot_send_test and hubspot_disconnect. Connecting always finishes in your browser.
